Sergeant-at-Arms Guide
Educational SessionsPrior to the Session
- Meet with the speaker to get introduction and confirm timing signals.
- Distribute handouts and evaluations.
- Call the session to order on time.
- Introduce the speaker.
- Act as timer for the session.
- After the presentation, present the speaker(s) with certificates of appreciation.
- Make announcements: A list will be provided.
- Collect evaluations.
- Deliver evaluations to Sergeant at Arms Coordinator or Education Coordinator.
- Stand at the doors and admit those with meal tickets.
- Direct non registered people to the registration desk.
- Request that contest only attendees remain outside until appropriate time (approx. 20 min prior to start of contest).
- Direct contest only attendees to contest only seating.
- Arrive 30 minutes before the contest to confirm your role and walk thru the process with your team.
- Once the contest has been called to order, entrance to the hall will be restricted to one door. Close the other doors and attach the Do Not Enter signs.
- One Sergeant-at-Arms will accompany Table Topics contestants to the waiting area.
- One Sergeant-at-Arms will remain in the room at the door.
- One Sergeant-at-Arms will stand outside to hold anyone attempting to enter the hall until a contestant has completed his/her speech.
- One Sergeant-at-Arms will stand at the steps to the stage to assist contestants up and down from the stage, if needed.
- Access to the hall will be restricted while a contestant is on stage.
- When each contestant finishes his/her response and descends from the stage, the Sergeant-at-Arms at the door will signal the Sergeant-at-Arms with the contestants to send the next contestant.
- The Sergeant-at-Arms at the door will direct the contestant to the Sergeant-at-Arms Coordinator, who will equip the contestant with the microphone.
- When the contest is concluded, open all the doors.
- Arrive 30 minutes before the contest to confirm your role and walk thru the process with your team.
- Once the contest has been called to order, entrance to the hall will be restricted to one door. Close the other doors and attach the Do Not Enter signs.
- The contestants will all stay in the room while the model speaker gives his/her speech.
- One Sergeant-at-Arms will accompany Evaluation contestants to the waiting area.
- The contestants will have 5 minutes to write their notes for the contest.
- After the 5 minutes is up the Sergeant-at-Arms will take the notes from the contestants. And only give them back as the contestant is called to give his/her evaluation.
- One Sergeant-at-Arms will remain in the room at the door.
- One Sergeant-at-Arms will stand outside to hold anyone attempting to enter the hall until a contestant has completed his/her speech.
- One Sergeant-at-Arms will stand at the steps to the stage to assist contestants up and down from the stage, if needed. As they are exiting the stage, the Sergeant-at-Arms will direct the contestant back to the Sergeant-at-Arms to remove the microphone for use with the next contestant.
- Access to the hall will be restricted while a contestant is on stage.
- When each contestant finishes his/her response and descends from the stage, the Sergeant-at-Arms at the door will signal the Sergeant-at-Arms with the contestants to send the next contestant.
